Global Voices, United Vision: Interactio Connects 15,000 Attendees at the COP-15 Biodiversity Conference

COP15 (the 15th Conference of the Parties) is a global summit that brings together leaders from governments, NGOs, and the private sector to discuss, negotiate, and agree on actions addressing the challenges posed by climate change.

Interactio has previously worked with the UN SCBD and successfully supported the first part of COP15 (COP15.1), which took place in China in 2021. This time, the event (COP15.2) was held in Montreal, Canada, welcoming more than 9000 on-site and about 6000 remote participants.

Considering the scale of the event, Interactio played a central role in making COP15 more inclusive and accessible to a multilingual audience, as our provided hybrid solution enabled participants to join the discussions in 6 official UN languages.

About the event

Challenge

Over 18 days, the UN Biodiversity Conference COP-15 hosted 464 sessions in 33 conference center rooms at the Palais des congrès de Montréal. The event brought together over 15,000 participants, both in person and online. In addition to the main conference agenda, Interactio was requested to provide technical monitoring and interpretation services for 107 side events organized by various organizations.

Interactio team was committed to providing a seamless hybrid experience that would allow attendees to participate in the discussions in their preferred language and ensure that the message was accurately conveyed in real-time, regardless of their location or technology choice

The objective of connecting global leaders in a hybrid format presented high stakes, including the need for a secure and reliable video-meeting environment, accurate interpretation, user-friendly engagement, and prompt technical support for all participants. 

Approach

Given the complexity of the COP15 event, which was set to run for almost three weeks and connect over 15,000 participants both on-site and online, our technical team performed a thorough risk assessment. We considered various factors, including technical implementation, project and account management processes, and product scalability.

To ensure high-quality interpretation services during the side events, we trained and supported the remote interpreters with all the necessary tools and resources.

Importantly, effective technical coordination and cooperation were essential for our internal team based in Montreal, the remote team in Europe, and the local AV partners. We worked together closely to promptly address and resolve any possible issues that arose during the event.

Interpretation

Side event organizers expressed interest in having our selected interpreters working on their events. Therefore, Interactio interpreter coordinators were involved in determining their needs and assigning the most suitable interpreters for each event. 

This resulted in 49 Interactio interpreters working on at least one COP15 assignment, with our team providing continuous support to ensure they had the necessary resources and assistance to deliver top-quality interpretation services.

Live streaming to Youtube

Due to the global significance of the COP15 event, the organizers were dedicated to ensuring its broad availability. As a result, Interactio integrated its platform with YouTube's live-streaming capabilities, enhancing inclusivity and expanding the audience reach.

This way, Interactio facilitated the streaming of 154 multilingual sessions from the COP15 conference to YouTube, enabling participants from diverse locations worldwide to access and engage in the conference proceedings.
